This page describes the SMS text messaging program operated by Helm Nejad & Stanley Dentistry (“HNS Dentistry,” “we,” “us,” or “our”) for our employees. This program is internal and is not used to send marketing or promotional messages to patients or the general public.

SMS TERMS & CONDITIONS
Program Description. Helm Nejad & Stanley Dentistry operates an internal SMS notification program for employees only. Messages are sent for employment-related purposes including HR notifications, compliance training reminders, document signing requests, scheduling updates, and payroll-related alerts.
Who Can Enroll. This program is for active employees of Helm Nejad & Stanley Dentistry only. Enrollment occurs during the new hire onboarding process via a signed Employee SMS Consent Form, which is available here..
How Employees Opt In. During onboarding, each new employee completes and signs an Employee SMS Consent Form that includes an explicit consent checkbox authorizing SMS communications. The form collects the employee’s full name, mobile phone number, and signature. The form is distributed and signed electronically through Gusto, our HR and payroll platform, and a signed copy is retained in the employee’s Gusto personnel record. Sample Messages. Examples of the types of messages employees may receive:
- “Reminder: Your annual HIPAA training expires Nov 15. Complete here: https://hnsdentistry.com/training/hipaa. Reply STOP to opt out.”
- “Hi [Name], please sign the updated employee handbook by Friday: https://docuseal.com/s/[link]. Reply HELP for assistance.”
- “Schedule update: Tomorrow’s morning huddle has been moved to 8:30 AM. Reply STOP to opt out.”
- “Your timesheet for the pay period ending [date] is ready for sign-off: https://docuseal.com/s/[link]. Please complete before payroll runs Monday.”
Links in Messages. Some SMS messages contain links to enable employees to complete required tasks. Examples include:
- Links to DocuSeal or other e-signature platforms for document signing requests
- Links to compliance training portals or course completion pages
- Links to internal HR systems for timesheet review and sign-off
- Links to scheduling resources
All links sent in SMS messages direct employees to legitimate, work-related platforms operated by Helm Nejad & Stanley Dentistry or our verified third-party service providers (such as DocuSeal for e-signatures). We do not use public URL shorteners (e.g., bit.ly, tinyurl). Employees should never share these links with non-employees, as they may grant access to confidential workplace documents.
Message Frequency. Message frequency varies based on HR and operational needs. Employees typically receive between 2 and 8 messages per month, though frequency may be higher during onboarding periods or active compliance training cycles.
Costs. Message and data rates may apply depending on your mobile carrier and plan. Helm Nejad & Stanley Dentistry is not responsible for charges incurred from your mobile carrier.
How to Opt Out. Reply STOP at any time to unsubscribe. You will receive one confirmation message and no further messages will be sent. You may also reply CANCEL, END, QUIT, UNSUBSCRIBE, REVOKE, or STOPALL to opt out. To re-subscribe after opting out, reply START or contact HR directly.

Consent Is Not a Condition of Employment. Consent to receive SMS messages is entirely voluntary and is not a condition of employment, hiring, or continued employment. Employees who opt out will receive equivalent communications through alternative channels (email, in-person, or phone).
Eligibility. This program is available to employees who are 18 years of age or older and who have a U.S.-based mobile phone number capable of receiving SMS messages.
PRIVACY POLICY
Overview. Helm Nejad & Stanley Dentistry is committed to protecting the privacy of our employees. This Privacy Policy describes how we collect, use, share, and safeguard personal information in connection with our internal employee SMS notification program.
Information We Collect. In connection with our SMS program, we collect the following information directly from the employee during onboarding via the signed consent form:
- Full name
- Mobile phone number
- Employment status and start date
- Date and signature confirming consent
How We Use Your Information. Your information is used solely for the purpose of sending employment-related SMS notifications, including:
- HR announcements and reminders
- Compliance training notifications and certification renewal alerts
- Document signing requests (e.g., policy acknowledgments, timesheet sign-off)
- Scheduling updates and shift changes
- Payroll-related alerts
- General workplace announcements
Information Sharing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors providing support services, such as our SMS delivery provider (Twilio) and our HR and payroll platform (Gusto), is permitted solely for the purpose of operating the program on our behalf. All other categories of use exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties under any circumstance.
Data Retention. Your phone number and consent records are retained for the duration of your employment and for a period of four (4) years following separation, in accordance with applicable employment record-keeping requirements. Upon expiration of the retention period, records are securely destroyed.
Data Security. We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, disclosure, alteration, or misuse. Access to employee SMS records is limited to authorized HR and management personnel.
Your Rights. You may request to update or remove your phone number from our SMS program at any time by:
- Replying STOP to any message, or
- Contacting HR directly at [email protected] or (310) 278-0440
You may also request a copy of the personal information we hold about you in connection with this program.
Children’s Privacy. This SMS program is intended for adult employees only (18 years of age or older). We do not knowingly collect information from minors.
Changes to This Policy. We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Employees will be notified of material changes via email or posted notice. The “Last Updated” date at the top of this page will reflect the most recent revision.
